Start With a Separate Payroll Calendar

How to Add the New York Payroll Calendar to Google Calendar

Use Google Calendar in a desktop browser. Google Calendar's own help explains that new calendars are created from a browser, and `.ics` or `.csv` imports are handled through the Import & Export settings area.

Download the file

Click Download New York .ics File and save the file to your computer. If the browser opens the file instead of downloading it, use the browser save option.

Open Google Calendar

Go to calendar.google.com from a computer browser and sign in to the account where you want the payroll reminders to appear.

Create a new calendar

In the left sidebar, find Other calendars, select the plus icon, then choose Create new calendar.

Name it clearly

Use NY Payroll Deadlines - TimeTrex (2026-2030). Add a description that says it is an imported TimeTrex New York payroll deadline calendar.

Import into that calendar

Go to Settings, choose Import & Export, select the downloaded `.ics` file, then choose your new New York payroll calendar as the destination before importing.

Confirm and color-code it

Return to calendar view, toggle the new calendar on, and assign a color that stands apart from meetings, holidays, and personal events.

How to Edit, Hide, or Delete the Calendar Later

Creating a separate Google Calendar is what makes cleanup simple. If the imported events are mixed into a primary calendar, deleting them later can become manual and time-consuming.

Hide temporarily

Toggle the calendar off

On the left side of Google Calendar, select the checkbox beside NY Payroll Deadlines - TimeTrex (2026-2030) to hide or show the imported events.

Edit one event

Open and save

Open a payroll event, make your company-specific note or date change, then save it. Imported events behave like editable Google Calendar entries.

Delete the set

Remove the calendar

Go to Google Calendar settings, select the New York payroll calendar, open Remove calendar, then delete it permanently if you no longer want the imported event set.

What to Delete After Import

  • Delete NY MCTMT reminders if the employer is not subject to MCTMT.
  • Delete optional ECET/ECEP reminders if the employer does not participate.

What Still Needs Payroll-System Controls

NYS-1 withholding deposits, PrompTax payments, IRS semiweekly deposits, IRS next-day deposits, actual paydays, local wage rules, tipped wage rules, and industry-specific requirements depend on payroll activity, tax liability, location, or employer status. Use this calendar as a planning layer, not as a substitute for payroll rules configured inside your payroll system.

Can I import the file on a phone?

Why does a 2026-2030 calendar include January 2031?
